We need your help to
continue the great success of the Athena MS PTSA. PLEASE consider
stepping up this year to take on an Officer/Chair positions.
A listing of current officers and chairs can be
found at
AMS PTSA Officers and Chairs. Listed below
are the job descriptions. If you need more information, please email
any of the officers.
SEE BELOW FOR DESCRIPTIONS OF THE VARIOUS POSITIONS

Preside at
monthly PTSA meetings and plan meetings/agendas in advance (4-6 per
year--this is up to the President's discretion) Three
key meetings are required to approve the annual PTSA budget, vote on new
officers, vote on endorsing the annual district budget. Appoint committee chairs. Normally
you try to have at least one meeting of your officers and chairs in the
summer to plan what to put in the August envelope and get an early start on
the year.

Bring together
chairs and officers to plan the yearly budget and calendar of events (this is
normally done at the summer meeting). Recommend programs or events.
·
Meet
periodically with the Principal to discuss issues and set priorities
·
Make sure that
all required PTSA related forms are completed during the
year--the Greece council PTSA will keep you informed of when things are
due (also, sign the tax return prepared by the Treasurer, the final
membership accounting prepared by the membership chair, submit new b-laws
every "x" year--I submitted them this past year so
they shouldn't be due for at least a year or two. Make sure the
insurance bill gets paid.)

Recommended to
have either yourself or your VP or Co-President attend monthly PTSA Council
meetings (these meetings are the BEST way to get ideas and find out what is
going on with district related events.)
·
Be a signatory
on the checking account. Review monthly bank statements.
·
Be a liaison
between the school and parents for various issues, grants or to get volunteers for
events (give the information to the Volunteer coordinator when volunteers are
needed.)
·
Disseminate
school/PTSA and District Related information for the email updates (send
information to Jeanne Attridge or Gina Williams to
send out.)
·
Always remember
that our job is to protect children...try to stay in tune with issues that
impact kids. Be the voice for parents and kids that might not otherwise
have a voice.
Optional things you can do:

Be an
ex-officio member of other school/PTSA committees

Sit on the
school improvement or safety team

Attend school
events as a PTSA presence (such as new student orientations)

Sit on district
committees of interest to you

Write or
distribute newsletter articles through the Connection or the daily

PEOPLE
Vice President Job Duties
Shall perform the duties of president in the absence
or inability of that officer to serve, and shall assist the president when
called upon. In case of a vacancy in the office of president, the first vice
president or the vice presidents in their order,
shall temporarily assume the duties until the vacancy is filled. The position of vice president is one that
can be adapted to the needs of each individual PTA. Look at the job
description of the president and determine which tasks or duties can be
delegated or shared by the vice president(s).
The Vice-President may also want to consider being a
representative for Athena MS at the Monthly PTSA Council meetings. Council meets monthly on Wednesdays.
Treasurer
Set-up the yearly budget and track expenses against it. Give monthly
reports of budget vs actual to president for meetings. Complete annual
tax return. Write checks and obtain 2nd signatures for all expenditures.
Handle deposits from events and fundraisers.
Secretary
Take
minutes at meetings, type and distribute to officers and chairs.
Maintain a file of important paperwork for the group.
Fundraising Committee Chair and Members
Coordinate or Assist
with the annual fundraiser (historically it has been a Dine-a-mate book
sale in September).
Social
Committee Co-Chairs
Help plan school
social functions such as dances/movie nights, etc.
Membership Co-Chair (ALREADY FILLED FOR 2006-2007)
The
majority of this work is done in August-November, although memberships do
trickle in throughout the year.

membership publicity/envelopes

Collect and log
all membership funds and distribute membership cards
·
Work with the
treasurer to ensure timely deposit of funds and reconciliation
·
Apply for
membership awards
·
Process
paperwork with the National PTA
·
Follow-up to
maximize membership numbers
Volunteer Coordinators
·
Create a
database of volunteers from the volunteer forms
·
Assist with
maintaining the database of volunteer information throughout the school year

Call or email volunteers
as jobs or functions are occurring
·
Provide names
of volunteers to various committee chairs
Music
Volunteer Coordinator
·
Call/email
volunteers who signed up to work as concert volunteers on the volunteer
sheets or at curriculum night
·
Organize volunteers
for greeters/ushers, stage manager, reception manager, reception workers
(setup, work and cleanup)
Staff/Teacher Appreciation Co-Chairs:
Plan two major functions
per year for teachers; one in the fall and one in May. The PTSA
provides a budget for the events, plus people bring in “goodies”. The co-chair needs to organize the
volunteers to plan the events and decide on the theme/activities. It is best if the Chair(s) can come in to
school the days of the two functions and have a couple of organizing meetings
at night. If you want a great
way to thank our terrific teachers, and enjoy planning parties (and not
spending your own money to do it…) this is the job for you!

Safety Team
Representative
The safety team is made up
of a group of parents, staff, and teachers from the MS and HS that meet on
safety issues and initiatives. Meetings occur approximately every
other month or so after school. We are also going to start a sub
committee for the PIP team (Parents in Partnership—details coming soon.) Meetings
for the regular safety team are usually at 2:45. Ad hoc meetings may be called if needed.
School Improvement
Representative
Meetings are usually 2:45
every other week. There are subcommittees that break out to talk about
all different issues about the school and solve problems/make
improvements. You would be able to choose what subcommittee you are
most interested in. Teams are made up
of parents, teachers and administrators.
Nominating Committee
Would need to make phone
calls to candidates to fill officer positions for the next school year.
People usually give ideas for nominees and the nominating committee calls
them. Usually three people need to make up the nominating
committee. They also need to present the slate of candidates at a PTSA
meeting for approval.
Spirit Wear
The Athena Spirit Wear
Co-Chairs run the sale and distribution of the Athena MS T-shirts and
sweatshirts. You basically take orders twice a year (in September and then
maybe October), input them into a spreadsheet, place the orders with the
vendor, sort them and distribute them during lunches on 2 days.
